Travel Producer

A Travel Producer manages the details of flights, rail, ground transport, shuttles, and attendee communication so travel stays aligned with the program schedule. For a client, this means having one person focused on getting people where they need to go without unnecessary confusion or delay. 

This role is especially valuable when travel is complex, when multiple transportation layers are involved, or when the attendee experience depends on careful timing. 

This role is typically needed when a program requires air travel or when 200 or more attendees need travel support. It is also useful when there are multiple travel logistics to coordinate, such as staggered arrivals, layover hotels, rail travel, or complex ground transport. 

When travel becomes a major part of the event experience, the Travel Producer helps make sure the process is organized, efficient, and well communicated. 

The Travel Producer oversees travel logistics and coordination, attendee communications, air reconciliation and invoice processing, and crisis management planning. They work with registration teams to gather travel requirements, prepare reports, manage attendee changes, and make sure the event’s travel plan supports the program timing and client policies. 

They also build manifests for air and ground transport, coordinate parking and routing where needed, and make sure hotel bookings align with travel schedules. In other words, they help hold the travel side of the program together from booking to arrival.

The recommended minimum experience is 5 years, with added value from air travel logistics, registration, booking systems, flight operations, and event travel coordination experience. For more complex programs, prior experience handling group travel or working with airline and transportation partners can be especially helpful. 

The strongest Travel Producers are usually people who understand both the operational detail and the attendee experience side of travel.
