Breakout Producer

A Breakout Producer executes breakout production elements from end to end. The role exists to make sure breakout sessions run smoothly, align with the client’s expectations, and support the larger event vision without losing quality in a smaller room or secondary space.

For a client, that means having a production lead dedicated to the breakout experience rather than asking the main tent team to absorb the extra complexity.

This role becomes important when a program has more than one breakout happening across multiple spaces or when the agenda changes and an additional breakout is added late in the process. In those moments, the Breakout Producer gives the program the flexibility it needs without creating chaos.

The Breakout Producer oversees show production, budget management, AV and technical planning, creative and content production, speaker support, talent management, audience engagement, onsite scheduling, rehearsal coordination, risk mitigation, and audio production.

They also manage the scripts, visual content, room setup, and delivery of each breakout so presenters, talent, and attendees all experience a well-organized session. In practice, they make the breakout feel seamless even when the room is one of several competing priorities in the program.

The Breakout Producer is accountable to the Main Tent Producer and works closely with creative content support, stage management, AV crews, and coordinators.

This relationship matters because breakout sessions need to feel integrated with the main program while still being managed with enough independence to stay on schedule and on brief. Clear coordination between the main tent and breakout teams helps keep the entire event running smoothly.

A strong Breakout Producer understands AV, lighting, sound, room setups, budgeting, stage management, and client communication. They need to be able to think quickly, coordinate multiple people, and manage details without losing sight of the bigger attendee experience.

They should also be confident enough to influence decisions, calm enough to handle pressure, and flexible enough to adapt when the agenda changes.

The recommended minimum experience for this role is 3 years, though more may be needed depending on the complexity of the program. Experience in live events, production, stage management, broadcast, or theatre can all be valuable depending on the breakout format.

The best candidates are usually people who can work confidently in a fast-moving environment and keep a room on track without needing constant direction.
